
Sales Administrator
Role Overview & Responsibilities
MAIN PURPOSE OF THE JOB
Provide administrative support to the Customer Supply Department by carrying out the tasks below
KEY TASKS & RESPONSIBILITIES
Daily Tasks
- Process EDI orders on IFS system
- Validate orders and release for transport to be arranged
- Create load lists for orders and calculate load weights
- Access Customer portals to book backhaul transport
- Arrange and book in hauliers
- Monitor stock levels when / where required
- Liaise with other departments to achieve maximum supply to Customers
- Shortage reporting
- Investigating customer claims
- Preparing credits
- Creating Customer invoices
- Answer customer order queries
In addition to the above….
- Support the Customer Supply team as and when required
- Assist with audits and archiving
- Process transport invoices when required
- Stock allocation for Crick site
- Create daily load sheet for order despatches
- Manage Amazon orders and requirements
- Assist with any new listings and price changes for Customers
RELATIONSHIPS & CONTACTS
Reports to the Customer Supply Manager, works within a team of 6 (including this role)
PERSON SPECIFICATION
Essential qualities:
· Advanced skills in Excel, Word and Internet usage
· Background in Stock Control/allocation Computer literate and ability to learn new programmes
· Team Player and good interpersonal skills
· Good communication skills
· Ability to process data quickly and efficiently
· Numerate
· Logical & organisational skills
· Ability to multi-task
· Own transport
· Self-motivated
Desirable qualities:
· Understanding of a Sales environment
· Previous knowledge of SOP software system
· Ability to recognise patterns of numbers
· Willingness to cover others
· Punctual
· Problem solving abilities
· Mature attitude
Experience:
· Background in administration, 2 years in similar role or A-level standard including Business Administration. A Logistics/Supply background would be useful
Communication & Interpersonal Skills:
· Needs to be articulate and a good communicator with good grammar skills
