Role Overview & Responsibilities

Lakin Spears, a mid-sized Palo Alto firm practicing in all areas of Family Law is looking for a full-time Litigation Secretary. Must have substantial experience in all aspects of litigation support and experience in customary litigation software applications such as Word, Outlook, law practice management software and E-Filing systems. Requires expertise in both state and federal court filing/service procedures, discovery procedures, calendaring, e-filing, trial preparation activities, and legal document assembly.

Typical duties of this position include:

  • Draft correspondence and notices to be sent to opposing counsels, clients, and court officials.
  • Review, edit and finalize legal documents and ensure that discovery and pleadings are finalized, filed, and served.
  • Coordinate appointments, motion hearings, expert and client meetings, and depositions.
  • Send notices to all parties and schedule court reporters for depositions.
  • Coordinate pertinent dates for cases.
  • Prepare and finalize subpoenas for personal appearance and/or production of documents.
  • Review mail and update proof of service to ensure that all service lists are current.
  • Calendar entries for lawyers, documents, and client case events.
  • Type, draft, edit, and finalize pleadings, complaints, answers, demurrers, motion papers, brief reports, etc. Locate and compile all exhibits necessary in support of motions.
  • Prepare and finalize table of contents and table of authorities.
  • Proficient in Case Management/Electronic Case Filing (CM/ECF) and PACER systems with District Courts, Bankruptcy Courts, and Appellate Courts and knowledgeable of local rules and protocols.
  • Responsible for editing, organizing, and filing all trial documents such as motions in limine, exhibit lists, witness lists, jury instructions, verdict forms, trial briefs, etc.
  • Compile and organize trial binders with all necessary documents for attorneys to take to court.
  • Provide backup coverage in coordination with other team mates as needed.

Requirements of this position include:

  • 3 – 7 years as a Litigation Legal Secretary. Any type of litigation is acceptable.
  • Demonstrated aptitude in the areas of communication, organization, writing and research.
  • Strong understanding of all aspects of litigation.
  • Ability to work collaboratively and independently.
  • Elevated level of emotional intelligence, empathy, and compassion.
  • Effective organizational, project management, communications and people skills required.
  • Excellent analytical skills.
  • Must collaborate effectively with other motivated professionals in a demanding environment.
  • Proven proficiency in the MS Suite of applications, legal time and billing systems and records management software.
  • Ability to sit at a desk for prolonged periods of time and lift up to 25lbs on a regular basis.
