Role Overview & Responsibilities
Job Overview
- To oversee the administration activities to the support services and provide support for HR activities on site whilst managing a small team of admininstrators.
Main Duties
- Responsible for updating and managing all employees' training files as necessary
- Responsible for logging personnel information with the central team
- Monitor staff absences and log with the central team
- Attend/host interviews and meetings on request
- Update and monitor GSK My Learning and Mitie E-Learning for all staff
- Manage all HR administration matters and inform the Site Services Manager
- Host and take minutes for HR meetings.
- Log and request machine call outs for cleaning equipment and raise PO's for repairs
- Raise PO's to the Site Services Manager on request
- Monitor and maintain Field Glass
- Check and close Work orders and transfer work orders to the correct person(s)
- Maintain/update and upload documents in Veeva
- File paperwork as generated. Archive as required.
- Liaise with client / client secretaries in a professional manner
- Update training matrix as required and inform management/supervisors of upcoming training needs.
- Highlight staff whose training is outstanding to supervisors for immediate training
- Organise and host training when required
- To assist with and carry out specified paperwork: i.e. return to work interviews, interviews, investigations / disciplinary, inductions and buddy support
- Record and update all staff holiday entitlements
- Answer telephone calls / take messages as required
- Write change controls for the department in the requested timeline
- Process payroll during absences of the finance administrators leave
- Line Manager for Mitie administrators across site
- Assist the Site Services Manager with any reasonable duties
What we are looking for
- Proven success in a senior administration position is essential
- Proven experience of supporting HR activities is essential
- Must be highly IT literature in all MS systems (Excel, powerpoint, word and outlook)
- Team leading experience
- An individual who will embrace Mitie and our clients values
- Individual must possess exceptional customer service and communication skills
- Candidate must be organised, good at time management and prioritisation of work and be reliable, punctual and responsible
