Transport Administrator
Role Overview & Responsibilities
The Role
To assist the Transport Manager in the provision of an effective and efficient transport administration and be able to provide accurate management information.
- Assist the Transport Manager with the maintenance and management of the Transport Management System.
- Managing the HR portal and driver holiday requests / sick days.
- Compliance management and ensuring all databases are kept up to date.
- Preparation of drivers’ documents, including driver debriefs, memos, disciplinary meeting documents etc.
- Assist in monitoring driver hours and WTD rules.
- Assist in the daily/monthly production and preparation of statistics, KPIs, and various management reports as required.
- Assist in fleet administration, e.g. booking vehicles for MOT’s, services, tax etc. and filing of paperwork.
- Produce and assist in the management of tachograph infringements and ensure compliance.
- Manage drivers’ licences ensuring drivers are qualified to drive in the first instance, renewals are maintained, and medicals arranged when required.
- Manage drivers’ CPC training and organise training when renewals are required
- Ensure all transport office stock is controlled and managed, with recorded movements in and out.
- Carry out investigations and report on vehicle incidents and damage to the Transport Manager.
- Validate purchase invoices and record on the transport system to aid in budget management and the creation of management reports.
- Carry out general administration duties including typing, filing, photocopying, and data inputting.
- Adherence to all Company, statutory and Health and Safety obligations.
- To attend any relevant training sessions to ensure you are fully equipped to perform your role effectively.
- To undertake any such other duties as may be reasonably required for effective operation of the Transport Department.

Essential Skills Required:
· Experience working in a transport office or environment
· Good level of Maths and English
· Good written and verbal skills
· Good communication skills
· Good organisational skills
· Comfortable using Microsoft Office including Word, Excel, PowerPoint, SharePoint, Teams, Outlook.
· A professional manner
· Ability to work on own initiative
Desirable Skills:
· Knowledge of Tacomaster
· Planning skills
· Knowledge of Drivers Hours, Tachograph and WTD legislation.
